Venuize ("we," "our," or "us") operates an AI-powered venue booking marketplace at itsvenuize.com (the "Platform"). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have regarding your information. We are committed to handling your data with care, transparency, and respect.

2. Information We Collect

Information you provide directly:

  • Account information: Your name, email address, password, phone number, and account role (venue owner, booker, or broker) when you register
  • Venue and property listings: Address, space type, capacity, pricing, photos, amenities, availability, and any other details you provide when creating a listing
  • Booking information: Event type, date, guest count, budget, special requests, and booking history
  • Payment information: Payment card details and billing address, processed securely by our payment processor. We do not store raw card numbers on our servers.
  • Communications: Messages exchanged between users through the Platform, support tickets, and correspondence with our team
  • Post-event submissions: Damage claim documentation, overtime reports, photos, and related evidence submitted after events
  • Outreach preferences: Segment selections, city targets, and other settings you configure in our AI outreach tools

Information collected automatically:

  • Usage data: Pages visited, features used, search queries, filters applied, clicks, time on page, and session duration
  • Device and technical information: IP address, browser type and version, operating system, device type, and referring URLs
  • Cookies and similar technologies: See Section 8 for details

3. How We Use Your Information

We use the information we collect to:

  • Create, maintain, and secure your account
  • Facilitate connections and bookings between venue owners and event bookers
  • Process and hold booking payments in escrow and disburse funds after events
  • Manage post-event adjustments including damage claims, overtime charges, and refunds
  • Power AI outreach features, including generating personalized emails and venue recommendations on your behalf
  • Send transactional communications: booking confirmations, payment receipts, escrow updates, dispute notifications, and account alerts
  • Send product updates and marketing emails (you may opt out at any time)
  • Improve the Platform through analytics and usage pattern analysis
  • Detect, investigate, and prevent fraud, abuse, or violations of our Terms of Service
  • Comply with applicable legal obligations and respond to lawful requests from authorities

4. How We Share Your Information

We do not sell your personal information to third parties. We share your information only in the following circumstances:

  • Between venue owners and bookers: When a booking inquiry is submitted or confirmed, relevant contact and event details are shared between the involved parties to facilitate the booking and post-event communication.
  • Service providers: We share data with trusted vendors who help us operate the Platform. These include Supabase (database and authentication), OpenAI (AI-generated content), Apify (web research for venue discovery), and our payment processor. All service providers are contractually required to protect your data and may only use it to provide services to us.
  • Analytics: We use privacy-respecting analytics tools to understand how the Platform is used. These tools may receive anonymized or aggregated usage data but do not receive your name, email, or payment information.
  • Legal requirements: We may disclose information if required by law, subpoena, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Venuize, our users, or the public.
  • Dispute resolution: In the event of a damage claim or booking dispute, relevant information (including post-event photos and communications) may be reviewed by Venuize staff to facilitate resolution.
  • Business transfers: If Venuize is acquired by or merges with another company, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a materially different privacy policy.

5. Payment Data and Escrow

All payment information is collected and processed by our payment processor using industry-standard encryption and PCI-DSS compliant infrastructure. Venuize does not store raw credit card numbers or bank account details. We store only tokenized references and transaction records necessary to manage escrow, disbursements, refunds, and dispute resolution. Payment records are retained for 7 years to comply with financial recordkeeping requirements.

6. AI Features and Third-Party Processing

Venuize uses OpenAI's API to power AI-generated outreach emails, venue descriptions, and other content generation features. When you use these features, relevant context (such as venue details, target city, segment type, and event demand signals) is transmitted to OpenAI for processing.

We do not send unnecessary personally identifiable information to OpenAI. For example, when generating outreach emails, we send venue characteristics and targeting parameters — not your personal account details. OpenAI processes this data in accordance with their own privacy policy and our data processing agreement with them.

We also use Apify, a web scraping and automation platform, to research potential venue leads and contact information as part of our venue acquisition and outreach tools. Data retrieved through Apify is used solely within the Platform to facilitate venue discovery and outreach.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Platform and fulfill the purposes described in this policy. Specific retention periods:

  • Account data: Retained while your account is active, and for 90 days after account closure before deletion
  • Booking and payment records: Retained for 7 years to comply with financial and tax recordkeeping requirements
  • Damage claim documentation: Retained for 3 years following resolution of the claim
  • Communications and messages: Retained for 2 years after the related booking or inquiry closes
  • Usage and analytics data: Retained in aggregated, anonymized form indefinitely; individually identifiable usage logs are deleted after 12 months

8. Cookies and Tracking Technologies

We use cookies and similar technologies for the following purposes:

  • Essential cookies: Required for authentication, session management, and core Platform functionality. Cannot be disabled without breaking the Platform.
  • Preference cookies: Remember your settings, filters, and preferences across sessions.
  • Analytics cookies: Help us understand how users navigate the Platform so we can improve it. These do not identify you personally.

We do not use advertising cookies or share cookie data with advertisers. You can manage cookies through your browser settings, though disabling essential cookies will prevent you from logging in or using core features.

9. Your Rights and Choices

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Update or correct inaccurate information directly in your account settings or by contacting us
  • Deletion: Request deletion of your account and personal data (subject to legal retention requirements for financial records)
  • Portability: Request your personal data in a machine-readable format
  • Opt-out of marketing: Unsubscribe from marketing emails at any time using the unsubscribe link in any email, or by contacting us. Transactional emails (booking confirmations, payment alerts) cannot be disabled while your account is active.
  • California residents (CCPA): You have the right to know what personal information we collect and how we use it, to request deletion, and to opt out of the sale of personal information. We do not sell personal information. To exercise your California rights, contact us at hello@itsvenuize.com.

10. Data Security

We implement industry-standard technical and organizational measures to protect your personal information, including:

  • TLS encryption for all data in transit
  • Encryption at rest for sensitive data stored in our database
  • Row-level security policies on our database (Supabase) ensuring users can only access their own data
  • Access controls limiting employee access to personal data on a need-to-know basis
  • Regular security reviews of our codebase and infrastructure

Despite these measures, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security and encourage you to use a strong, unique password for your account.

11. Children's Privacy

The Platform is not directed at, and we do not knowingly collect personal information from, individuals under the age of 18. If we become aware that a minor has created an account, we will promptly delete the account and all associated data. If you believe a minor has registered on the Platform, please contact us immediately at hello@itsvenuize.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify registered users by email at least 14 days before the changes take effect and update the effective date at the top of this page. If you continue to use the Platform after the updated policy takes effect, you are agreeing to the revised terms. If you do not agree, you may close your account before the effective date.
